Overview

Freelancers and consultants rely on well-designed workflows to improve efficiency, maintain consistency and deliver a professional service to their clients.

Administrative tasks often consume significant time, particularly for new freelancers and consultants who are balancing multiple roles in their business.

In contemporary consulting practice, Artificial Intelligence (AI) offers practical opportunities to automate routine tasks, reduce administrative load and enable freelancers to focus on high-value strategic work.

This assignment will help you build the operational capability required to run your freelance or consulting business by designing AI-enhanced workflows that are effective, ethical and professional.

Objective

This assignment aims to develop your understanding of operational efficiency, AI-supported workflows and the ethical integration of AI into freelance and consulting practice.

You will demonstrate your ability to:

• Identify common administrative tasks in your freelance or consulting business
• Select appropriate AI tools to support each workflow
• Design clear, logical, human-in-the-loop workflows
• Apply ethical reasoning and responsible AI practice
• Communicate your processes professionally

Scenario

You are preparing to launch the freelance or consulting business you have chosen to establish for this unit.

As part of your operational setup, you need to create efficient workflows for administrative tasks that commonly consume time and reduce your capacity for billable work.

To support this, you will design four (4) AI-assisted administrative workflows, each supported by a diagram, visual demonstration, and a short explanation of the time saved and ethical considerations involved.

Your workflows should reflect the realities of the freelance or consulting business you will be operating.

Your Task

1. Commence the document with a short overview of your business.

2. Write a one-page explanation (approx. 450 words). Your written explanation must include:

• A brief rationale for choosing your four (4) tasks (see point 3 below)
• The time saved or efficiency gained
• Ethical considerations (privacy, accuracy, bias, human oversight)
• How your workflows reflect responsible, professional AI use

3. Identify four (4) administrative tasks you will need to undertake to operate your freelance or consulting business. Examples include invoicing, email replies, meeting summaries, drafting proposals, onboarding workflows, file organisation, research summaries, scheduling or CRM updates.

4. Create an AI-assisted workflow for each task. Each workflow must include:

• The steps involved
• Where AI is used
• Where human review or judgement is required
• Any tools involved (e.g. ChatGPT, Perplexity, Canva, Otter)

5. Present each workflow as a diagram such as a flowchart or process map.

6. Include screenshots or mock demonstrations. Screenshots must show:

• The AI tool in use
• A relevant prompt or configuration
• A mock or example output

COM203 Assessment Criteria (Equal Weighting)

You will be assessed on:

1. Task selection and relevance – Demonstrates understanding of common administrative tasks in freelance/consulting practice and chooses appropriate tasks suitable for AI enhancement.

2. Workflow design and clarity – Workflows are logical, clearly structured, easy to follow and demonstrate understanding of both AI-supported and human-dependent steps.

3. Use of AI Tools and automation – Shows appropriate, practical and well-chosen AI applications that genuinely improve efficiency and reflect realistic application in your freelance or consulting business.

4. Ethical awareness and human oversight – Demonstrates thoughtful consideration of ethical issues, responsible AI use and the importance of human judgement, accuracy and data privacy.

5. Professional communication and presentation – Submission is well-organised, professionally presented, visually clear and adheres to all guidelines and formatting requirements.

• Keep written section within one page.
